Activities and Scheduling

Activities represent scheduled sessions at a location — classes, appointments, shifts, workshops, or any other time-bounded event. By linking device screens to activities, you can ensure feedback is collected only during the relevant session, keeping your data clean and contextually meaningful.


What are Activities?

An activity is a scheduled event tied to a specific location. Examples include a morning yoga class, a customer service shift, a monthly team workshop, or a recurring appointment block.

Key characteristics:

  • Location-scoped — Each activity belongs to one location. You manage activities from the location's Calendar view.
  • One-time or recurring — Activities can occur once or repeat on a daily, weekly, monthly, or yearly schedule.
  • Staff assignments — Staff members can be associated with an activity, giving reports the context of who was working during a given session.
  • Screen linking — Device screens can be linked to an activity so that feedback prompts only appear while the activity is in session.

Creating an Activity

Role required: Owner or Manager

From the Calendar

  1. Navigate to the Calendar view for the location where you want to add the activity. You can reach it from the Workspace by selecting a location from the sidebar and clicking Calendar.
  2. Click on the date you want to schedule the activity.
  3. Fill in the activity details in the panel that appears.

Activity Fields

Field Description
Title The name of the activity. Keep it descriptive — it will appear in reports and device screen dropdowns. Examples: "Morning Yoga", "Customer Service Shift", "Monthly All-Hands".
Start time When the activity begins.
End time When the activity ends. Device screens linked to this activity will only be active between these times.
Description Optional free-text field for additional context. Not shown to feedback collectors — it is for your team's reference only.
Is Recurring Toggle this on if the activity repeats. See Recurring Schedules below.
  1. Click Save to create the activity. It will appear on the calendar.
  2. To assign staff, open the activity after saving. See Assigning Staff to Activities.

The Calendar View

Role required: Owner or Manager

The Calendar is the primary interface for managing activities at a location.

Layout

  • Left sidebar — Displays a tree structure of your workspace: Branches > Locations > Devices. You can navigate between locations and manage branches, locations, and devices inline from this sidebar without leaving the Calendar.
  • Main panel — Shows a monthly calendar. Activities appear on the days they are scheduled.

Navigating the Calendar

  • Use the previous and next arrows at the top of the calendar to move between months.
  • Activities are displayed as labeled blocks on their scheduled dates.
  • Click an activity block to open the edit panel.
  • Click on an empty date to create a new activity on that date.

Editing an Activity

  1. Click the activity block on the calendar. The edit panel opens on the right.
  2. Update any field: title, start or end time, description, or recurrence settings.
  3. Click Save. Changes take effect immediately.

For recurring activities, edits update the recurring pattern going forward.


Deleting an Activity

  1. Open the activity from the calendar.
  2. Click Delete at the bottom of the edit panel.
  3. Confirm the deletion when prompted.

Note on linked screens: If the activity is linked to one or more device screens, those screens will lose their activity link upon deletion. The screens themselves are not deleted — they will simply no longer trigger based on this activity's schedule. You may want to update those screens' schedule settings after deleting the activity. See Linking Activities to Device Screens.


Linking Activities to Device Screens

Device screens can be set to appear only during a specific activity. This is the most precise way to collect session-specific feedback.

How to Link a Screen to an Activity

  1. Navigate to the device's screen configuration. From the Workspace, select the device, then open the screen you want to configure.
  2. Under Schedule Mode, select Activity Linked.
  3. In the Activity dropdown, choose the activity you want to link.
  4. Save the screen configuration.

How It Works

Once linked, the screen will only be displayed on the device when the associated activity is currently in session — that is, when the current time falls between the activity's start and end time.

Outside of the activity window, the screen is hidden from the feedback collector. Other screens on the device (with different schedule modes or linked to different activities) may still be shown.

Example

You run a yoga studio with a "Morning Yoga" activity scheduled from 07:00 to 08:30 on weekday mornings. You create a device screen titled "How was your yoga class?" and link it to the Morning Yoga activity. The screen will automatically appear on the check-out device only during that 90-minute window each weekday morning — keeping afternoon feedback prompts clean and session-relevant.

Assigning Staff to Activities

Assigning staff members to an activity lets you associate the people working a session with the feedback collected during it. This gives reports additional context — for example, filtering feedback by which staff member was on duty.

To Assign Staff

  1. Open the activity from the calendar (create it first if needed).
  2. In the edit panel, scroll to the Staff section.
  3. Select one or more staff members from the list. Only staff members belonging to the activity's location (or its parent branch) appear here.
  4. Save the activity.

Staff assignments are visible in the activity detail and reflected in reports that support activity-level filtering.


Recurring Schedules

Toggle Is Recurring on when creating or editing an activity to reveal the recurrence options.

Recurrence Options

Option Description
Frequency How often the activity repeats. Choose from Daily, Weekly, Monthly, or Yearly.
Interval The gap between occurrences. For example, an interval of 2 with a Weekly frequency means the activity repeats every 2 weeks.
Recurrence End When the repetition stops. Set a specific end date, or leave it open for an indefinite recurrence.

Frequency Reference

  • Daily — Repeats every N days from the start date. Useful for daily shifts or stand-ups.
  • Weekly — Repeats every N weeks on the same day of the week as the original. Useful for weekly classes or team meetings.
  • Monthly — Repeats every N months on the same date of the month. Useful for monthly reviews or recurring appointments.
  • Yearly — Repeats every N years on the same date. Useful for annual events or compliance activities.

Example: A Weekly Class

A "Wednesday Evening Pilates" class runs every Wednesday from 18:00 to 19:30. Set Frequency to Weekly, Interval to 1, and leave Recurrence End blank. The activity will appear every Wednesday on the calendar indefinitely.

To pause or end the series, open any instance of the activity and set or update the Recurrence End date.
