Audit Log

The audit log is a chronological record of every change made to your organization's resources. It tells you who did what, when, and to which resource — giving your team full transparency and accountability over the actions taken inside CapySays.


What Is the Audit Log?

As your organization grows and more people make changes — adding locations, configuring devices, updating roles — it can become difficult to track what happened and when. The audit log solves this by capturing every significant action automatically.

Use it to:

  • Troubleshoot issues — trace the sequence of changes that led to an unexpected state
  • Verify changes — confirm that a configuration update was applied and by whom
  • Monitor team activity — stay informed about what Owners and Managers are doing across your organization
  • Support compliance — demonstrate a record of changes for internal audits or policy reviews

Accessing the Audit Log

Required role: Owner or Manager

Navigate to the Audit Log from your organization's settings page or your team's management page. The log displays events in reverse chronological order — most recent first — and is paginated at 50 events per page.


What Gets Logged

The audit log captures the following types of events across all resources in your organization.

Created

Logged when a new resource is added — a branch, location, device, or activity. Each entry records who created it and at what time.

Updated

Logged when an existing resource is changed. This includes name changes, configuration updates, screen assignments, and any other edits. The entry shows who made the change.

Deleted

Logged when a resource is removed. The entry records who deleted it and when.

Status Changed

Logged when a resource transitions between statuses. Common examples include:

  • A device moving from Active to Inactive or Retired
  • A plan or subscription status change

Role Changed

Logged when a team member's role is updated — for example, when a Staff member is promoted to Manager, or when a Manager is promoted to Owner. The entry records who changed the role and what it was changed to.

Data Purged

Logged when a team member is removed from the organization and their feedback metric associations are cleared. This event is recorded specifically because it affects data integrity: the feedback submissions remain in the system, but they lose their staff member attribution.

Note: A data purge is only logged if you explicitly chose to remove feedback associations when removing the member. If you kept the associations, no data purge entry is created. See Removing a Member for details.


Filtering the Audit Log

Use the action type filter to narrow the log down to the events you care about.

Available filters:

Filter Shows
All Every event (default)
Created New resources added
Updated Edits to existing resources
Deleted Resources removed
Status Changed Status transitions on devices or other resources
Role Changed Team member role updates
Data Purged Staff feedback association removals

Filters apply immediately and carry through pagination, so you can page through all events of a given type without losing your filter selection.


Reading an Audit Entry

Each row in the audit log contains the following fields:

Field What it shows
Timestamp The exact date and time the event occurred (displayed in your local timezone)
Actor The name and email of the person who performed the action
Action The type of change — shown as a badge (Created, Updated, Deleted, etc.)
Resource What was affected, including the resource type and name (e.g., "Branch: Downtown Office", "Device: Front Desk Tablet")
Details Additional context about the change — for example, the old and new role when a role change is recorded

Common Use Cases

"Who changed the device settings?" Filter by Updated and scan for entries with a Device resource. The Actor column shows who made the change.

"When was this staff member removed?" Filter by Deleted or Status Changed and look for membership or staff member entries for that person.

"Was any feedback data purged?" Filter by Data Purged. Each entry in this category represents a bulk clearing of staff associations, including which member was involved.

"Who added this location?" Filter by Created and look for entries with a Location resource.

"When did this device go offline or get retired?" Filter by Status Changed and find the device by name. The entry shows the transition and who triggered it.

Tip: Make it a habit to check the audit log periodically, especially if multiple Managers are making changes simultaneously. It is the quickest way to stay informed about what is happening across your organization — without having to ask.
