Glossary

Key terms and concepts used throughout CapySays.


Activity A scheduled session at a location — such as a class, appointment, or shift. Activities can be one-time or recurring, and can be linked to device screens so feedback is only collected during specific sessions.

Ambassador A referral partner who shares signup codes to bring new organizations onto CapySays. Ambassadors have their own dashboard to track referrals, codes, and commissions.

Audit Log A chronological record of all changes made to an organization's resources. Includes who made each change, what was affected, and when it happened. Available to Owners and Managers.

Branch A subdivision of an Organization, typically representing a physical site or department. Each branch contains one or more Locations. Managers are scoped to a specific branch.

Collector The feedback collection interface that runs on a Device. It's a lightweight, self-contained web app designed to work on tablets and phones, even with spotty internet connectivity. Feedback is queued locally and synced when a connection is available.

Data Export A downloadable ZIP file containing your organization's data as CSV files (feedback, staff, locations, devices). Available on plans that include the data export feature. Exports expire 48 hours after generation.

Device A physical phone or tablet running the CapySays Collector to gather feedback. Devices go through a lifecycle: Unregistered, Active, Inactive, and Retired.

Device Screen A single screen displayed on a Device in the Collector. Screens can be of different types (Rating, Message, QR Code) and can be scheduled to appear at specific times or during specific activities.

Feedback Submission A single response from a customer, captured through the Collector. Each submission contains one or more ratings (one per Rating Dimension on the screen).

Join Request A request from a Staff member to join an Organization. The request is reviewed by an Owner or Manager, who can approve or deny it.

Location A specific feedback collection point within a Branch — for example, a classroom, a front desk, or a checkout area. Each location can have one or more Devices.

Location Type A category for locations, determined by the Organization's type. For example, an Education organization might have location types like "Classroom" and "Lab", while a Hospitality organization might have "Lobby" and "Restaurant".

Magic Words A unique phrase (like "brave purple elephant") assigned to an unregistered Device. You enter these words in the app to link the device to a specific location. This avoids typing long device IDs.

MFA (Multi-Factor Authentication) An optional security layer that requires a time-based code (from an authenticator app) in addition to your password when logging in.

Organization The top-level entity in CapySays. An organization represents your business, school, or institution. Everything — branches, locations, devices, staff, and feedback — belongs to an organization.

Organization Type The category of your organization (Education, Health & Fitness, Retail, Hospitality, etc.). This determines which Location Types are available.

Plan Your subscription tier, which determines resource limits (number of branches, locations, devices, staff, activities) and available features (data export, analytics, API access, etc.).

Rating Dimension A specific aspect being rated on a feedback screen — such as "Cleanliness", "Service", or "Value". Each dimension collects its own score.

Rating Mechanism The visual format customers use to give feedback: 5 Stars, 3 Emoji, 5 Emoji, Thumbs Up/Down, or NPS 0-10.

Signup Code A promotional code that provides benefits at signup — such as a discount, extended trial, or access to a hidden plan. Signup codes can be distributed by Ambassadors or shared directly.

Staff Member A person associated with an Organization — such as a teacher, trainer, or service agent. Staff members can optionally be linked to user accounts, and customers can select a staff member when giving feedback.

Workspace The main hub you see after logging in. It shows your organizations, locations, active devices, and recent feedback at a glance. Think of it as your home base.
