Staff Quickstart

Welcome to CapySays! As a Staff member, you are part of your organization's team and can view your own dashboard with assigned activities, branch info, and (if enabled) your feedback stats.

This guide gets you set up in a few minutes.


What you can do

  • Join an organization via an invitation link or a self-service join request
  • View your Staff Dashboard — see your branch, assigned activities, and performance stats
  • Edit your staff profile — name, speciality, bio, contact details, profile picture, and social links
  • View your feedback stats — if your organization owner has enabled this for your account

What is outside your scope

Staff members do not have access to branches, locations, or device configuration; analytics dashboards; team management; or billing. Reach out to your organization owner or manager if you need any of those.


Getting started

There are two ways to join an organization. Follow whichever path applies to you.

Path A — You received an invitation email

  1. Open the invitation email from your organization owner.
  2. Click the Accept Invitation link.
  3. If you do not have a CapySays account yet, you will be prompted to create one. If you already have an account, sign in.
  4. You are automatically added to the organization as a Staff member and land on your Staff Dashboard.

Path B — You are joining on your own

  1. Go to the CapySays sign-up page and create an account. When asked for your role, select Staff.

  2. After signing in for the first time, you land on the Find Organization page (/business/find-org/).

  3. Type your organization's name in the search box. Only organizations that have made themselves discoverable will appear.

  4. Locate the correct branch and click Request to Join.

  5. Wait for an Owner or Manager to approve your request — you will receive an email notification when they do.

  6. Once approved, sign in again and you will land on your Staff Dashboard.

Tip: If you cannot find your organization in search, ask your manager to either invite you directly (Path A) or enable discoverability for the organization.

While you wait for approval

Even before joining an organization, you can:

  • Edit your name — click Edit profile in the account header on your profile page.
  • Set up MFA — click the MFA link to add two-factor authentication.
  • Manage email addresses — click Email settings to add or change your email.

Your profile page also shows a Find an Organization button in the empty organizations section, so you can easily get back to the search page.


Your Staff Dashboard

Once you are a member of an organization, you land on the Staff Dashboard (/business/staff-dashboard/) after login. The navigation bar also shows a Dashboard link.

The dashboard includes:

Section What you see
Profile card Your photo, name, speciality, and bio
Your Branch The branch you are assigned to, its address, and active locations
Your Activities Activities you have been assigned to, with location and schedule info
Your Performance Average rating and feedback count (only shown if your org owner has enabled stats for you)

At the bottom of the dashboard, there is an Edit your profile link that takes you to the full staff profile form.


Day-to-day tasks

Update your staff profile

Your profile is visible to customers and teammates, so keeping it accurate matters.

  1. Click your name or avatar in the top navigation to open your profile page.

  2. Click Edit profile in the account header, or click the pencil icon on your organization card.

  3. Fill in any of the following fields:

    Field Notes
    Name How your name appears on feedback screens — synced to your account name
    Speciality Your role or area of expertise (e.g., "Barista", "Front Desk")
    Bio A short introduction shown to customers
    Email and phone Contact details for internal use
    Profile picture Recommended size: 400 × 400 px
    Social links Twitter, Instagram, and Facebook URLs
  4. Click Save to apply your changes.

Check your feedback stats

If your organization owner has enabled stats for your account, you can see how customers rated their interactions with you directly on your Staff Dashboard.

  • Average rating — your overall score for the current period, with a trend indicator comparing to the previous period.
  • Feedback count — how many feedback submissions mention you, with the previous period shown for comparison.

Not seeing stats? The View Stats permission is granted per staff member by your organization owner or manager. Ask them to enable it for your account.
